KW Dyslexia is committed to protecting and respecting your privacy. This policy explains how data is collected, used and stored in accordance with UK GDPR (General Data Protection Regulation) and the Data Protection Act 2018.

Personal Data Collected:

The following types of personal data may be collected, stored and processed.

  • Child’s details (name, date of birth, school year, school name)
  • Parent / Carer Information (name, address, telephone number)
  • Relevant educational history and SEND information (including assessment data, reports, information from SENDCo and/or class teacher)
  • Reports and recommendation from other agencies
  • Any relevant health records or medical history information (including hearing and vision and other learning difficulties)
  • Administrative and financial records (booking correspondence, invoices, payment records)

Why We Use Your Data:

We use your personal data to:

  • Respond to enquiries and manage bookings
  • Prepare for and carry out the dyslexia assessment
  • Score, interpret and write the assessment report
  • Communicate with parents/carer and where agreed, with the school or other professionals
  • Maintain appropriate professional records
  • Issue invoices and keep financial records

Under UK GDPR we must have a lawful basis for using and processing personal data. This is:

  • Consent – provided when you book an assessment or tuition
  • Contractual necessity – to provide the service you have requested
  • Legal obligation – for record keeping and safeguarding requirements

Who We Share Data With:

We do not sell personal data or share it for marketing purposes. Data is only shared when you give explicit consent (for example to share the report directly to a school or specialist) or if required by law if a safeguarding concern arises about the welfare of a child.

 How Your Data is Stored and Protected:

Electronic data is stored on password-protected, encrypted devices and in secure cloud storage.

Test papers, handwritten notes, and questionnaires are deleted or destroyed once the final report has been accepted. Until this point they will be locked away.

Audio or video recordings will be deleted immediately after the report is finalised.

The final report will be retained for 7 years after the learner’s 18th birthday (in line with professional indemnity insurance requirements) 

Your Rights:

Under data protection law, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of data in certain circumstances
  • Withdraw consent

Withdrawing Consent:

Where we rely on consent (for example to share the report with the school), you can withdraw that humbleness at any time by emailing kwyattdyslexia@gmail.com . Withdrawing consent does not affect the lawfulness of processsing carried out before consent was withdrawn.

If you have any concerns about how your data is handled, please contact Kirsty Wyatt on the details above. You also have the right to complain to the Information Commissioner’s Office (ICO).
